Reconcile your bank accounts

Make what stub says is in your bank match what your bank says — work down the uncategorised list, then check the closing balances agree.

Reconciliation sounds like an accountant's word, but in stub it's mostly just categorising — making sure what stub says is in your bank matches what your bank says. Do it little and often, account by account, and every report you run is one you can actually trust.

Open your bank accounts

Click Insights in the sidebar, then the Bank accounts tile.

Every account gets a card showing its balance and either how many uncategorised transactions are waiting, or Reconciled with the date it was last clean.

Clear your uncategorised transactions

  1. Click Categorise on the account you want to work through.
  2. Go down the list, assigning each transaction to a category.
  3. Where a transaction settles an invoice or a bill, tie it to that document rather than booking it straight to income or expenses. See Match bank deposits to invoices.

The count on the card drops as you go. When it hits zero, the card flips to Reconciled.

A long backlog loads a page at a time — click Show more at the bottom of the list to keep going. The count on the card is the true total, so don't stop just because the list looks short.

Set a starting balance

If an account has no opening balance yet, its card offers you the chance to set one. Enter the balance from your bank statement as at the date you want to start from.

Resolve a difference

If stub's balance and your bank's balance don't agree, the card offers a Resolve step. Work through it to find the gap — usually a transaction that came in twice, or one that never came in at all.

Check the whole picture

Go to SettingsDataTransactions to see every transaction across all accounts in one list. Filter by Account or by Tag, and sort by date or amount.

Make it a habit

Reconcile weekly rather than annually. A stray transaction is easy to explain three days later and nearly impossible three quarters later.

Note: If your bank has no live feed, drop a PDF statement into Files and stub reads the transactions off it. See Upload files to stub.
